Project Overview:

Intellias Team are looking for a highly skilled and creative Event & Office Specialist to manage our Malta office activities. Our mission is to create effective events, manage productive environment, maintain pet friendly office and overseeing all office functions for Intellias clients and talents. We’re looking for a person responsible for ensuring the smooth and efficient running of all aspects of the office and creating a comfortable and productive events environment. 

In this role, you will be responsible for generating creative concepts and organizing a wide variety of internal events that support corporate communication strategy and contribute to the strengthening of Intellias' core values. Also work with external vendors, setup deliveries, arrange payments, deals with daily contractors’ needs and cooperates with other company departments providing administrative support. 

We are expecting you to be very well-organized and competent in event management and building lasting relationships with vendors. Strong communication skills, strong time management and attention to detail are necessary.

Responsibilities:
  • Overseeing and manage all everyday functions concerning the office and events, parties, get-togethers, quests, challenges, team buildings; 
  • Responsibly manage the premises, cooperate with all functions and services; 
  • Support events with corporate merchandized products and activities; 
  • Manage customers/business visits to the office; 
  • Prepares office access badges for newcomers, contractors and visitors; 
  • Vendors and contractors relationships management. Organize the purchase of office goods & decorations, negotiates with contractors and other service providers; 
  • Support and hold possible online events; 
  • Plan and manage an annual budget, adjust forecasts; 
  • Evaluate and track the success of events.
Requirements:
  • Experience in organizing events of different types (parties/corporate events/festivals/competitions/tournaments) from conception to fulfillment; 
  • Experience on a similar position will be a plus; 
  • Track records in various online events using different concepts and platforms will be an advantage; 
  • Experience with communication part of events management using digital tools and platforms will be an advantage; 
  • Budgeting skills; 
  • Excellent organization and time management skills; 
  • Great communication and interpersonal skills (written/spoken/live); 
  • Self-sufficient. A knack for problem-solving; 
  • Ability to work on different tasks simultaneously; 
  • High level of attention to detail; 
  • Demonstrates initiative to get a job done; 
  • Support pet friendly environments; 
  • Upper-Intermediate level of English.
Higher Education:
  • Bachelor's Degree.
