Project Overview:

Administrative Location Manager is responsible for the arrangement of flawless office operations including but not limited to the management of services and processes that support the core business of the company, ensuring the most suitable working environment for its contractors and their activities. Supervises and coordinates vendors providing services and completes the duties associated with purchasing and stocking supplies for office maintenance. Coordinates and leads the team. Ensures provision of health and safe office environment, including compliance with fire safety in office premises.

The Administrative Manager reports directly to the Country Head, but also collaborates with the Global Function.

  • Organize and manage the office maintenance/operations, including but not limited to;
  • Managing administrative team at location;
  • Contribute to and cooperate with the continuous improvement processes, initiate positive changes to office conditions and processes; 
  • Oversee administrative operations across Company’s location in Poland;
  • Develop and improve administrative business processes, both within & out of administrative team;
  • Workplace Services strategy set-up with further implementation to ensure the best experience for specialists;
  • Launch of new offices in accordance with the needs of the company, communicate with landlord's, sign lease agreements, work with vendors and contractors;
  • Company's office initiatives management: from planning to implementation;
  • Control functions’ purchasing processes in compliance with internal policies & procedures;
  • Business unit budget planning, control, analysis & optimization;
  • Develop, implement, and review operational policies and procedures; 
  • Participation in ISO and TISAX audits (customer, internal/external etc.).
  • 3+ years of experience as an Administrator/PM or similar administrative management position with managing a team of 5+ people;
  • Solid experience in administrative processes development, improvement & optimization;
  • Management of complex administrative projects;
  • Excellent analytical skills;
  • English at Upper-Intermediate level (spoken and written);
  • Experience in space management in different locations (preferably in different countries);
  • Experience in opening new spaces;
  • Experience seeing project through the full life cycle;
  • Launching and managing new functional directions from scratch;
  • Ability to take ownership, prioritize and work in dynamic environment;
  • Possess excellent communication skills;
  • Perfect problem-solving skills;
  • Strategic thinking;
  • Strong continuous improvement mindset;
  • Strong interpersonal skills and are extremely resourceful;
  • A strong team player profile, and are curios and eager to learn.
